Bid Types

Bid Types allow you to associate vendors with the type of work they do.  You can create vendors who bid work on pools, floors, landscaping, and more, depending on your needs. Once you have done so, each time you add a preservation bid into the system, the list of available vendors will be narrowed down to only those who do the type of work requested. 
 
Important:
  • One of the benefits of adding bid types is that you can integrate it with the Auto Tasking feature. You can set up auto tasks that will trigger when certain types of preservation bids are added into the system. This is done by setting a bid type condition from the Admin tab, the Auto Tasks sub tab at left, and the Preservation sub tab at right.
  • If you are unable to add bid types, make sure you have set the appropriate permissions for the Admin Team under Admin>Groups.  Once there, in the privileges section, you must enable Admin Bid Types, located under Admin Tab.  See Groups for more information on setting privileges.
 
Adding a Bid Type
 
1. To view or create bid types, select the Admin tab at the top of the screen, then the Types sub tab at left. A set of sub tabs will appear at the top of the Types screen.  Click on the Bid sub tab, and the following screen will appear:

At the bottom of the screen you will see a Type List.  If you have never added types to Broker Brain, the only type you will see listed is Generic. Any vendors who have been added to the system up to this point will fall into the Generic category.  Once you create your types list, you can move existing vendors into the proper types.

 
Important: 
  • If you choose not to add additional types, all vendors you add into the system will be designated as generic, and no vendor filtering can be used. 
 
2. In the Type field, enter the name of the first bid type you wish to create and click the Add button.  You will see each item you add appear in the Type List at the bottom of the screen as shown below. 
 
 
 
 
Important:
  • You can change the name of bid types or delete them by clicking the Update or Delete buttons next to each item listed.
  • You cannot delete bid types if there are bids in the system assigned to that type.
 
 
Adding Bid Types to Vendors
 
From the Admin tab at the top of the screen, click the Vendors sub tab at the left.  A list of your existing vendors will appear.  Click the + next to a vendor's name to see the vendor information.  You will see the bid types you created in a Bid Type list as shown below.  Click the check box next to the appropriate type and click the Update button below.
