Creating a BPO

With Broker Brain,  you now have the ability to type the information directly on the BPO form and submit it directly to the bank. In addition, you can quickly create a BPO from previously entered BPO's. Comparable data can be pulled from the current properties BPO, or from a different property in the same area. If pulling comparables from a near by property, the subject property and near by property owners must match.

Prior to creating a BPO make sure that you have assigned the appropriate Form Set to the owners. This is done from the Admin Tab > Owners page, from the following screen:



Currently, the only Form Set available is for Fannie Mae. However, there are more to come. Once you have selected the appropriate Form Set for the owner, click on Update. At this point you will be able to create BPOs for those owners. NOTE: The Fannie Mae form set is for Fannie Mae ONLY, not Fannie Mae outsourcers. Outsourcer forms will be coming soon.

Creating a new BPO

1. Click on the Properties Tab at the top of your Broker Brain website

2. Find the property for which you want to create a BPO and click View.

3. Once on the individual property page, click on BPO on the left side of the screen. The following screen will appear:



4. Click on the + next to Add New BPO and the following screen will appear:



5. Choose the Type of BPO from the drop down (Initial, Update, Second Opinion, External) and select the Sub Form. (Currently only the Single Family option is available, the Multi Family form is coming soon.) You may also add comments.

Note: The Auto Fill section applies when you are copying BPO information from another BPO into a new one or from a previously entered BPO. This will be discussed later.

6. Click Add and the following screen will appear:



7. To enter data into the BPO form, click the Edit button. An updatable pdf version of the appropriate form will appear for you to complete. To see a sample of the Multi Page BPO go to www.brokerbrain.net and click on the Sample Multi Page BPO link.

Notes about the Editable form:
  • The property information at the top of the page is auto filled based on the data in the system for that property. The Firm Name is based on the name used when you registered for Broker Brain and the Completed By field is the name of the owner that was entered at the time of registration. This information can be changed by modifying your account at www.brokerbrain.net. All of this information can be changed, if you choose.
  • Certain fields in the form are automatically populated for you. They are validated behind the scenes to ensure accurate data. An example of one of the fields that is auto populated is the Price/Gross Living area. Once you enter the price and the square footage in the form this field will be completed for you and is not editable.
  • When you are in the editable form, you will not see the photo pages. They will appear when you preview the form and when you submit it to the owner.
8. When you are done editing the form, click Complete at the bottom of the form and the values in the screen on the previous page will be updated based on the information you provided.

Important:
  • BPO information that is summarized in the Broker Brain BPO section includes the date and type of BPO. It also displays the as is and repaired values and any comments that you enter in the form.
Adding Photos of the Property in the BPO

Photographs of the subject property are not added from the BPO page. They are actually pulled from the Photos section for that property. To ensure that the photos that you want for the BPO are included, you need to note the screen below:



Any photos that you want to be part of your BPO must have one of the BPO types selected. If they do, they will automatically appear on the BPO page and will become part of the report.

Important:

  • As per the standard Fannie Mae BPO format, only one of each of the types can be used for a BPO and they will always appear on the first Photo page of the report.
  • You may choose as many photos with the Additional type as you like and they will be added to subsequent pages in the BPO. For Additional Type photos, you will have the ability to weight them in the BPO Photos screen to determine the order they appear in the report. Remember, the pictures with the lowest weights will appear first in the document.
Adding Comp Photos for a BPO

Adding Comp Photos to your BPO is done from the BPO page using the screen below:



One of each of the Competitive Types can be used for each BPO for a total of six pictures.

Important:
  • An orange Frame distinguishes Comp Photos from subject property photos on the BPO screen.
Previewing a Completed BPO

The preview option  downloads a preview version of the completed BPO form with the accompanying photo pages. This action keeps the BPO in a pending status and is simply for previewing purposes.

Downloading a Completed BPO

Downloading a BPO will mark the BPO as submitted in the Broker Brain system. The file that is downloaded is the file that needs to be sent or uploaded to the bank. For Fannie Mae this downloads the zip file containing the PDF BPO along with the XML file that the AMN system is expecting.

Important:
  • Once you have downloaded a BPO, that version is no longer editable. In order to make changes to the BPO it has to be placed back into Pending status using the pending button. This option is only available to users with BPO Power User Access.
  • When the BPO is downloaded while in a pending status, a PDF copy of that BPO is attached as a note to that BPO entry.
Submitting a BPO 

 A BPO can be submitted directly to the owner. Currently, that availability exists for Fannie Mae properties and owners. This is done by clicking on the Submit button as seen on page 2 of the document once you have made all of your edits and included all of your photos. Upon hitting Submit, a pop up will appear that allows you to sign into the Fannie Mae AMN website. You will be required to enter your username and password for their website. Broker Brain has a location in which you can store the websites that your firm uses as well as any user names and passwords that are required to access them. If you have set that up for Fannie Mae, the system will auto populate that information for you. This is done from the Web Sites tab at the top of the screen. In order for this functionality to work, note the screen shot below:



Complete all of the required fields, including Login Name and Password. Select the Special Type Fannie Mae BPO and click Add.

Any time that you submit a Fannie Mae BPO, the system will now automatically populate the login username and password field for you.

Copying BPO Comp Information 

You can Copy the information for the Comps from a completed BPO to another BPO if both properties are owned by the same owner. Follow the below process

1. Click on the Copy button as seen earlier in this section.

2. Go to the new property and click on the BPO page. Choose Add New BPO and the following screen will appear:



3. In addition to completing the Type field, you will now have the option in the Auto Fill menu to select the information that you wanr copied. You can specify which comp information will be copied by selecting the desired options below the Auto Fill menu.  Click on ADD.

Important:

  • The Sub Form option will be grayed out because it will use the same Sub Form as the BPO selected in the Auto Fill menu.
  • Not only is the comp info from the form copied into the new BPO form, but any comp photos from that property will also be added to the property for which the new BPO is being created. If the current property already has comp photos in the system, those will be replaced with the ones coming from the auto fill comps.
  • You can also auto fill and copy comp information from the BPO form from the BPO that was most recently submitted for this property.
Creating a BPO for Properties without Form Sets

When you complete a BPO for a property that is owned by a bank for which there are no Form Sets in the system, the default BPO form in Broker Brain can be used to track the history of BPO’s that are completed for the property. In those situations, the BPO page for that property appears as the screen below:



You have the ability to capture the above information from your BPO in the system for your records.
